This interactive guide works best with JavaScript turned on. Here is the text version (9 flows, 29 steps).
1. Confirm a bank transfer
- Payments awaiting confirmation — Open Billing → Payments and the Awaiting confirmation tab. Transfers the office recorded from a receipt wait here until you see the money in the bank.
- Check it against the statement — Open the payment. Compare the amount, date and reference with your bank or wallet statement.
- Confirm received — Enter any bank fee and click Confirm received. The invoice is marked paid, the student's classes go ahead and the teacher's share is worked out. If the money never arrived, use Not received instead.
2. Record a payment
- Pick the invoice — Click Record a payment (on Invoices or Payments) and choose the invoice. Only open invoices are listed.
- How much, and how — Choose how it was paid and the amount received in the invoice currency. For a USD payment enter what was settled in PKR and the gateway fee separately — teachers paid "on net" get their share after the fee.
- Saved — receipt ready — Mark it Yes — confirmed if the money is already in your account, and click Save. The receipt shows exactly where the money went: the course, the teacher's share so far and the fee.
3. Invoices and overdue fees
- Invoices — Billing → Invoices shows open, overdue and paid invoices, with totals at the top. Renewal invoices are raised automatically each month.
- An invoice — Open one to see its items with the teacher of each course, and every payment against it. Print gives a clean PDF-ready invoice with your bank details.
4. Refund a payment
- Open the payment — Open the payment and click Refund. The page shows what the payment paid for and the teacher's share so far.
- How much, and the teacher's share — Enter the amount, the reason and your transfer reference. Recover the teacher's share takes back only what the teacher actually earned on the refunded part — never more.
5. Teacher pay terms
- Teachers & terms — Open Teacher pay → Teachers & terms: every teacher, their terms in one line, what they earned this month, their balance and how they are paid.
- One teacher — Open a teacher. Pay terms shows the terms in force; What this teacher gets shows, course by course, the teacher's share and what the institute keeps.
- Special rates — Special rates give a different percentage on one course or one student from a date. Terms are versioned: a change applies from its date and never rewrites past earnings.
- The earnings ledger — Earnings ledger lists every amount with how it was worked out — fee, gateway fee, percentage, the class that released it. Salaries accrue at month end, pro rata for part months.
6. Verify payout details
- New details to verify — When a teacher adds or changes payout details they show To verify. Call the teacher and read back the account title and number.
- Mark verified — Click Mark verified and confirm. Only verified details can be paid — a change of number always needs a fresh check.
7. Pay teachers: the payout run
- Payout requests — Open Teacher pay → Payout requests. Teachers with verified details are ticked; give the run a name and click Create payout run.
- The run: tax worked out per teacher — The run lists each teacher with gross, tax withheld and net to pay, using each teacher's tax profile and the rate tables.
- Approve — Check the figures and click Approve. Tax is recalculated one last time and the amounts are locked.
- Lists for the bank and the wallets — Download a CSV per method — Easypaisa, JazzCash, bank — and send the money from your bank app or wallet account. Education360 never moves money itself.
- Record each payment — After sending, click Record payment on each teacher and enter the transaction reference. The teacher sees it on their earnings page.
- Paid — Click Record payment. When every line is paid the run is complete and the ledger shows the payout.
8. Withholding tax
- Tax overview — Open Tax. Every teacher with their treatment — salary (s.149) or contractor (s.153) — filer status, what they were paid this year and what was withheld.
- Salary or contractor — side by side — Open a teacher to compare the two treatments on the same annual amount before you decide with your accountant. Then record the teacher's tax profile: CNIC/NTN, filer status, any exemption certificate.
- Rate tables — Rate tables holds the salary slabs and the service rates for each tax year. They are editable — when the budget changes the rates, update them here; no code change needed.
- Statements and deposits — Statements lists every deduction for the period with Download CSV. After paying the tax to FBR, tick the rows and record the CPR number.
9. Accounts and reports
- Accounts overview — Accounts shows income against expense, your cash and bank position, and where the money goes. Fees, payouts, tax and fees post to the books automatically.
- Add an expense — Add expense records rent, internet, software and the like: amount, date, expense account and whether it was paid from cash or bank.
- Financial reports — Financial reports: ledger, trial balance, income statement, balance sheet, cash book — and Teacher cost, what each teacher cost against the fees their students paid.
