This interactive guide works best with JavaScript turned on. Here is the text version (9 flows, 35 steps).
1. Your dashboard
- Quick actions — The tiles at the top jump straight to the jobs you do most: New course, Review queue, Applications, Enrol student, Record payment, Payout requests.
- The numbers — Published courses, active teachers, students (and how many pay in USD), fees collected this month, outstanding invoices and what is owed to teachers.
- Waiting for you — Below, the cards list what is waiting: courses and prices to review, new teacher applications, payout requests and new enrolment requests from the website. Each links straight to the item.
2. Approve a teacher
- New applications — Open Teachers → Applications. The New tab lists applications sent from the website's Become a teacher page.
- Read the application — Open one to see what they teach, their levels, experience, languages and expected terms. Call or WhatsApp them straight from here.
- Profile and subjects — Under Approve as teacher, check the name and headline shown on the website and choose the subjects they will teach.
- Their pay terms — Set how this teacher is paid: a salary, a percentage of what their students pay, or both — or tick trial to give them 100% for a first period. Percentages are per teacher; you can add special rates per course later.
- Approve and create the login — Click Approve and create login. The teacher gets an account, and you get a set-password link to send them on WhatsApp or email. The link works for 7 days.
3. Create and publish a course
- New course — Open Catalogue → Courses and click New course.
- The course — Give it a clear title (and an Urdu title for the Urdu website), pick the subject and write a one-line summary.
- How it is taught — Choose the format: Live classes (a timetabled group), Session-wise (ongoing one-to-one, like Quran classes), Recorded course or Live + recorded. Add the class length and whether there is a free trial.
- Level and teacher — Set the levels it is for — from and to — and the teacher. Only approved teachers are listed.
- Draft saved — Click Create draft. The course page shows what is still missing before it can be published — here, a price.
- Add a price plan — In Price options click Add option. Choose how students pay — monthly by days a week, one-off, per session, a pack or free — and the price in PKR (Pakistan) and USD (abroad).
- Publish — Click Save, then Publish at the top and confirm. The course appears on the website straight away.
- Live on the website — The course is published: it is in the public catalogue under its category and levels, with its plans and teacher.
4. Review a teacher's course and price
- The review queue — Open Catalogue → Review queue. Courses awaiting review and Price proposals from teachers wait here.
- Approve the price — Check the proposed price and click Approve — or Reject with a note the teacher will see.
- Open the course — Click Review on the course. Read it as a student would; if something needs fixing, Request changes sends it back with your note.
- Publish it — All good? Click Publish and confirm. The teacher is notified and the course goes live.
5. Turn an enquiry into an enrolment
- Enrolment requests — Open Enrolments → Requests. Each card shows the course, the plan they chose, their preferred times and message — with one-tap call, WhatsApp and email.
- Add student & enrol — After you have spoken to them, click Add student & enrol.
- The student — The form is already filled from the request. Check the country — it decides the currency (PKR in Pakistan, USD abroad) — and the time zone, then click Add student.
- Plan and weekly timings — The course from the request is chosen. Pick the plan and agree the weekly slots — for session-wise courses the classes are generated from these, in the student's time zone.
- Enrolled — invoice and timetable ready — Click Enrol and invoice. The price is locked for this student, the first invoice is raised and the classes are on the teacher's timetable.
6. Students and guardians
- All students — Students → All students lists everyone with their level, guardian, country and courses. Filter by level or currency.
- A student's page — Open a student to see their courses, invoices and guardians. Enrol in a course starts a new enrolment for them.
- Guardians and parent logins — A guardian can have several children and their own login to follow classes and pay invoices. Add one here, or give an existing guardian a login.
7. Class schedule
- The schedule — Open Enrolments → Class schedule. Filter by dates, teacher and status — for example classes not marked yet.
- One enrolment's classes — Each enrolment page lists its classes with their status. Teachers mark them; marking is what releases their earnings for the class.
8. Staff, roles and the audit log
- Users — Users & Roles → Users lists every login — staff, teachers, students and parents. Office staff are added here with Add User.
- Permissions — Open Roles & Permissions and a role to tick exactly what it may do — for example let Finance see courses but not edit them.
- Audit log — Audit Log records sign-ins and every change to pay terms, payouts, payments, prices and settings — who, what and when.
9. Email, SMS & WhatsApp
- Channels — Settings → Email, SMS & WhatsApp: each channel is a switch with its own provider details and a Send test button. All are off until you switch them on — the in-app bell always works.
- Notification rules — Notification Rules decides which events — a new enrolment, an invoice, a payout — go out on which channel, and to whom.
